Approvals queueYour front desk has the final word.

Every booking Leady holds waits here, with the call beside it. Your team reads what was said, then confirms or declines in one click, and Open Dental follows.

A drawing of the approvals queue in the practice portal, with sample data. Three held requests wait: Maria L., Tuesday 8:20 AM in Op 2 with Dr. A. Reyes for a chipped tooth, marked Decide today; J. Whitfield, Wednesday 10:40 AM in Hyg 1 for a cleaning; and a new caller, Wednesday 2:00 PM in Op 1 for a new patient exam. Maria's request is open beside the transcript of her after-hours call. The front desk confirms it, Open Dental shows it confirmed in Op 2, and the queue drops from 3 waiting to 2. Beside the laptop, a phone shows the same queue: approving from a phone is coming.

Every held booking

Every held booking, with the call beside it.

Your team decides on what the caller actually said, not on a summary. The request and the transcript sit side by side.

  • The request

Name, day and time, operatory, provider and the reason for the visit, exactly as it sits in Open Dental.

  • The transcript

Every line of the call with its timestamp, so a misheard time or the wrong visit type is easy to spot.

  • How the call arrived

After hours, a busy line or after the rings you set. The call reference matches the note on the appointment.

Sample card: J. Whitfield, held for Wednesday 10:40 AM in Hyg 1 for a cleaning, answered after 4 rings during busy hours, with the three transcript lines of the call and a call reference that matches the note in Open Dental.

Confirm or decline

Two buttons. Open Dental follows.

Each decision does the paperwork in your schedule, so nobody retypes anything.

  • Confirm

The appointment takes your normal confirmed status and the highlight comes off. Leady does not message the patient.

  • Decline

The appointment moves to the Unscheduled List, not marked missed or canceled, and the note asks your team to call the patient back.

  • Or decide in Open Dental

The hold is a real appointment in Open Dental, so your team can see it there. Its note says how to approve or decline it in Open Dental, the way you always have.

Sample card: Maria L.'s held request for Tuesday 8:20 AM in Op 2. The front desk presses Confirm, and in Open Dental the dashed Leady hold in Op 2 becomes a confirmed appointment with the highlight off.

What needs you first

The urgent things sit at the top.

Held requests for tomorrow are marked Decide today. Escalated calls and unanswered transfers sit beside them, in their own color.

  • Decide today

A held request whose time is close rises to the top, so the chair is settled before the patient walks in.

  • Escalations

Calls routed to your on-call dentist, or transferred to your team during the hours you set, with what happened next.

  • Unanswered transfers

When a transfer rings out, Leady creates a callback task and notifies your team.

Sample list, Needs you today: Maria L. held for 8:20 AM, marked Decide today; a call routed to the on-call dentist for facial swelling, marked Escalated; a transfer that was not answered, marked Callback; and J. Whitfield held for Wednesday 10:40 AM.

Messages and callbacks

Calls that are not bookings still land somewhere.

A question, a request for a person, a caller who wants a call back. Each one arrives with its transcript.

  • Messages

The caller's reason and preferred times, in plain words. On the Free license, every answered call ends as a message.

  • Callback tasks

Created when a transfer is not answered, with the caller's number and the reason they called.

  • Linked to the call log

Every message opens the full call, so nobody has to ask the patient to repeat themselves.

Sample list of messages and callbacks: a new caller asking whether the practice sees children, a callback task for J. Whitfield after a transfer rang out, and a message from Maria L. asking whether her appointment is confirmed. Each has its transcript attached.

Notifications

A nudge that carries no patient data.

Your team hears that something is waiting. The details stay in the portal, for the staff your practice signs in.

  • Email todayText · Coming

Notifications go by email now. Text message notifications are coming.

  • Your choice of recipients

Turn notifications on or off and choose who gets them, from any member of your staff.

  • No name, number or reason

A notification never includes the patient's name, phone number or reason for the visit.

Sample notification email from Leady to the front desk: "You have 2 requests waiting for approval. Sign in to your Leady portal to review them. This email contains no patient details." It carries no name, no phone number and no reason for the visit.

A morning at the front desk

From a 7:41 PM call to a confirmed chair by 8:03.

Staged call. No real patient.
  1. 7:41 PM

    Call answered

After hours. The caller hears they are speaking to an automated assistant and that the call is transcribed.

  2. 7:42 PM

    Hold written

A real appointment in Op 2, marked as waiting, with a note and a communication log entry.

  3. 7:43 PM

    Email sent

Your front desk gets a nudge with a count and a link. No patient details.

  4. 8:02 AM

    Queue opened

Your team reads the transcript beside the request, with Decide today at the top.

  5. 8:03 AM

    Confirmed

One click. Open Dental shows the normal confirmed status and the highlight comes off.

Built for patient data

The queue holds patient details. It is built like it.

Details live in the portal, behind your sign-in. Everything that leaves the portal, like a notification, carries none.

  • Only staff you sign in

Calls, transcripts and requests open in the portal, for the staff your practice signs in.

  • Transcripts, audio off

Each answered call has a transcript in the portal. Audio recording is off by default in every state until counsel clears it.

  • Nothing before a BAA

No call is answered and no practice data is touched before your Business Associate Agreement is signed.

See all questions

What happens if nobody approves a hold?

It keeps its chair, marked as waiting, until someone confirms or declines it. That is why notifications go out and why the queue puts Decide today at the top. Work the queue first thing each morning and nothing waits long.

Does the patient hear from us when we confirm?

Not automatically. Confirming updates Open Dental, and Leady does not message the patient. During the call, the caller heard that the time is a request your office will confirm.

Can we approve inside Open Dental instead?

Yes. The hold is a real appointment in Open Dental, and its note tells your team how to approve it there (change the confirmation status) or decline it (break it to the Unscheduled List). The queue is the quicker way, because the transcript sits beside the request.

Who at our practice can see the queue?

Only the staff your practice signs in to the portal. Calls, transcripts and requests are not shown anywhere else.

Can we approve from a phone?

Not yet. Approving from a phone is coming. Today the queue runs in the portal in your browser.

Do the notification emails include patient names?

No. A notification never includes a name, phone number or reason for the visit. It says something is waiting and links to the portal.
