Access and rolesYou decide who sees what.
Each person at your practice gets their own account. Today the portal separates your administrators from your staff, and every transcript view is written to a log. Per-role permissions for the owner dentist, office manager, front desk and hygienist are being built.
Five roles, each with its own permissions.
Your PMS does not tell us who does what, so roles are set in Leady by your owner dentist. Leady support is a role too, with the narrowest access of all.
Owner dentist
Owns the account. Sets roles, booking mode and who may play audio. Decides what Leady support may see.
Office manager
Runs the day: approvals, messages and callbacks, transfer hours. More if the owner grants it.
Front desk
Confirms and declines holds, returns calls, opens the transcripts needed to do so.
Hygienist
Sees what the owner allows. By default, nothing that names a patient beyond the schedule.
Leady support
Opens one call at a time, only to resolve something, with the reason logged. Never plays audio.
What the portal enforces today
In placeTwo practice roles, checked on the server for every request: administrators and staff. Owner dentists and office managers are administrators; front desk and hygienists are staff. Every request is scoped to your practice, and accounts are by invitation only.
Who can do what.
Proposed defaults for every practice. Your owner dentist can tighten any of them, and grant the ones marked. Each column says whether the portal enforces it today or whether it is being built.
- Allowed by default
- The owner dentist can grant it
- Not allowed

Changing booking mode stays with the owner dentist, because booking directly needs written acceptance.
Who opened what, and when.
Every view of a transcript is recorded: who, which call and when. When audio is on, every play is recorded too.
- Append-only: an entry cannot be edited or removed
- Your administrators see your practice's log in the portal
- Ask us for our side of the log, for any call
When we look at a call, we look in steps.
Day to day, nobody at Leady reads your call content. When something goes wrong, we look only as far as we need to, and each step is logged.
Being builtDesigned and written down- STEP 01Default
Call shape
Length, outcome, whether a booking was made, any error. No patient data. Where every review starts.
- STEP 02Logged reason
Masked transcript
Name, phone number and date of birth hidden. Needs a logged reason. Still treated as patient data.
- STEP 03One call only
Full transcript, one call
Only for one named call, only if the first two did not explain the problem. Never in bulk.
- Nobody at Leady ever plays call audio, the founder included
- Engineering works on made-up patients, never yours
- No one at Leady reads patient data before the access log runs
Transcript lines are staged. Sample practice. Demo data.
Every account belongs to a person.
The portal is where transcripts and holds live, so the way into it is held to the same standard as the data inside.
- In place
One person, one account
Invitation-only accounts for each person. Nobody can create a portal account without an invitation from the practice or from Leady.
- Being built
Two-step sign-in
A second factor on every staff account, on top of the password.
- Being built
Idle sessions sign out
A portal left open on the front-desk computer signs itself out after 15 minutes of no use.
- In place
Your practice only
Every portal request is scoped to the signed-in practice. Nothing crosses between accounts.
- In place
No patient data in sign-in
The sign-in service holds staff names, work emails and roles. Never patient data.
- Being built
Access ends when someone leaves
The owner dentist removes a seat and that person’s access ends at once.
Questions about access and roles
See all questionsCan our hygienist read call transcripts?
Today every signed-in member of your practice can read a transcript, and every view is logged. The proposed default for a hygienist is no, with the owner dentist able to grant it; per-role settings are being built.
Who can play call audio?
Audio is off in every state today. Once your state is cleared and you switch it on, your administrators and staff can play it. Nobody at Leady can: the database refuses it.
Can Leady support see our calls?
Only to resolve something you or our monitoring raised: one call at a time, with the reason logged, and never the audio. Day to day, nobody at Leady reads patient data.
Can we see who opened a call?
Yes. The access log records who opened which call and when, and every audio play once audio is on. It is written in the portal and marked being built until it runs for a practice.
What happens when someone leaves the practice?
Your administrator removes their seat. Because every account belongs to one person and is by invitation only, nothing else needs changing. Ending access at once, from one screen, is being built.
