What a Digital Twin is

Your protocol, written down so it can be followed.

A Digital Twin is the written protocol of your front desk: the set of files Leady's agent is built from. It covers what a caller can book, in which chair and for how long, what the agent may say about insurance, what it must refuse, and who gets the call when something is urgent.

It is not a form you fill in once and forget. It is a living record. Facts come from your Open Dental, so nobody retypes the schedule. Rules come from you, in your words, and each decision is recorded with who made it and when. Anything neither of us can know before real calls come in is named rather than guessed, and revisited once they do.

We suggest a starting point for every rule, because correcting a sentence is easier than writing one from a blank page. Before go-live we go through the required rules with you, so each suggestion becomes a decision someone at your practice actually made.

How a twin is built

From a first call to a first patient, in six steps.

Every paid practice is onboarded by a person, on a one-hour online call. Nothing is answered, and none of your data is touched, until the agreement (BAA) is signed and the test calls pass.

  1. Day 1

    Onboarding call

    One hour, online, with us. We learn how your front desk works, and you choose your booking mode and when Leady answers.

  2. Step 2

    BAA and readiness check

    You sign the Business Associate Agreement first. Then we connect to Open Dental with a key your practice enables, and check that what we read matches your screen, at the same times.

  3. Step 3

    Twin drafted

    We draft your files from what Open Dental holds and what you told us, with our suggestion next to every rule.

  4. Step 4

    You review

    You read each rule and keep it, correct it or rewrite it. Required rules are decided by someone at your practice, and we record who.

  5. Step 5

    Test calls

    You call it and hear how it handles your situations, before any patient does. The regression calls in your twin have to pass.

  6. Step 6

    Go live

    You forward your line at the times you chose: after hours, busy hours or after a set number of rings. You can switch forwarding off yourself.

On the Free license: Tell us about your practice. We'll call you to set it up. The readiness check runs on your Open Dental and you sign the BAA. We approve every Free practice as a real practice before it goes live.

Changelog and tests

Every rule change: what, who, when.

A twin changes as your practice does. Each change is written down in plain words, tested, and only then put live.

  • Recorded

    The changelog shows what changed, who changed it and when, in your practice’s language. Not a code diff.

  • Tested before it goes live

    No file change goes live until the regression test calls pass. A change that breaks one waits until it is fixed.

  • Old versions kept

    An earlier version of your twin is never deleted, so you can always see what the rules were on a given day.

Next for the twinComing

A twin that learns from your front desk.

When your team changes a held booking before confirming it, a longer visit or a different chair, Leady will notice the pattern and propose a rule change. A practice admin approves it or dismisses it. The twin never rewrites itself.

Three honest lines we would rather say before you ask.

  • Your words, never a prompt box

    You answer in your own words and we turn them into the agent’s instructions. Nobody at your practice has to write for a machine.

  • Routing, never clinical

    Rules decide where a call goes and what is offered. The agent never diagnoses, never advises and never tells anyone not to come in.

  • Instructed, then checked

    The refusals are instructions the agent follows, and each answered call leaves a transcript in your portal, so you can check exactly what was said.

How long does onboarding take?

On Base, the onboarding call is one hour, online, with us. After it, you review the drafted twin and hear test calls before go-live. On the Free license: Tell us about your practice. We'll call you to set it up.

Do we have to type in our schedule?

No. Operatories, providers, appointment types, durations and blockouts are read from your Open Dental. You confirm or correct what we read.

Can we change the twin after go-live?

Yes. You change your settings and protocol yourself in the portal, or with our support. Every change is recorded in the changelog and tested before it goes live.

Can we remove one of the refusals?

No. The refusals and the safety rules apply to every practice. You can add refusals of your own, and you choose the words the agent says instead.

Will we hear it before a patient does?

Yes. Test calls run before go-live, and you can call it yourself to hear how it handles your situations.

Is there an onboarding fee?

On Base, the onboarding fee is $599, one-time, and it is waived on the yearly license. The Free license has no onboarding fee, and beta practices pay no onboarding fee.
