Booking mode

You choose how firm a booking is.

Your practice picks the booking mode at onboarding. You can start with holds and watch how it goes.

  • Hold for front-desk approval

    The default. Leady takes the chair and marks the appointment as waiting. Your team confirms or declines it.

  • Book directly

    An option. The appointment goes in with your normal confirmation status. It takes effect only after your practice accepts it in writing.

  • Agreed in writing

    The mode is set with you at onboarding, and it changes only when your practice asks for the change in writing.

What a hold looks like

A hold is a real appointment, wearing a label.

In your PMS, a hold is a scheduled appointment in the chosen operatory, marked as waiting, with a note that says Leady made it. In Open Dental today, which has no tentative slot, that is exactly how it works.

  • It takes the chair

    Nobody else is offered that time while your team decides, and your front desk sees it on the schedule they already use.

  • It is marked as waiting

    A confirmation status your practice sets up with us, and a highlight color if you want one. How it looks in your version of Open Dental is checked with you at onboarding.

  • Declined means off the schedule

    A declined hold moves to the Unscheduled List. It is not marked missed or canceled, and nothing is deleted.

What we writeHow it works in Open Dental today

Everything it writes, field by field.

We publish exactly what Leady writes into your PMS, before you ask. In Open Dental today there are five kinds of write, and one of them happens only for a new caller.

  • Appointment

    The chair, provider, appointment type, length, date and time your rules allow. A confirmation status: the hold status your practice sets up with us, or your normal status on Book directly. A highlight color on holds, if you choose one.

  • Note on the appointment

    Fixed text, a code for the visit type, our call reference and a Leady reference code. Never what the caller said.

  • Communication log entry

    A received phone call on the patient's communication log, with the same reference code, so the call note sits on the patient chart where your team already looks.

  • Task

    A task linked to the appointment, asking your team to approve or reject the held request.

  • Patient record

    First name, last name and mobile number, created as a prospective patient. It stays in Open Dental if you decline, and your team decides whether to keep it.

  • Your decision

    Confirm: the status changes to your normal confirmed status and the highlight comes off. Decline: the appointment moves to the Unscheduled List, not marked missed or canceled, and the note gains one line.

Guardrails

It cannot double-book a chair.

Not because we are careful. A PMS can accept an overlap, and Open Dental does, so the refusal lives in our database, before anything is written to your PMS.

  • Refused by our database

    Our booking engine refuses a second write to the same chair and time. The rule is enforced in the database, not in application code.

  • Reads what booking needs

    Operatories, providers, appointment types, durations and blockouts, so a slot it offers is a slot that exists.

  • Books only what you switch on

    At onboarding you choose which providers and appointment types Leady may book. A visit is booked only when it matches one of your appointment types and a length.

What happens between the ring and the chair.

The same four steps on every booking, whether the call comes in at 7:41 in the evening or during a busy Tuesday.

Before any of this: no practice data is touched before your Business Associate Agreement is signed, and before go-live we check the connection with you and run test calls.

  1. It reads your real schedule

    Operatories, providers, appointment types, durations and blockouts come from your PMS. Nobody retypes them, and nobody at your practice keeps a second calendar.

  2. It offers only a free chair

    Leady offers a time only when the chair is genuinely open, for a provider and visit type you have switched on, at the length your appointment type sets.

  3. It writes the hold

    The caller hears that the time is a request your office will confirm. The appointment lands in the chair with the hold status, a note and a communication log entry.

  4. Your team decides

    Your front desk opens the approvals queue, reads the transcript and confirms or declines. Your PMS is updated either way.

Which PMS does Leady book into?

Open Dental is integrated today. Dentrix, Eaglesoft and other systems have a waitlist, and we will tell you where yours stands. The booking rules on this page stay the same on every system we add.

Does the caller think a held appointment is confirmed?

No. The caller hears that the time is a request your office will confirm. Confirming in the portal does not message the patient, so your team contacts them if anything changes.

What happens when we decline a hold?

The appointment moves to the Unscheduled List, not marked missed or canceled, and the chair is free again. The note gains a line asking your team to call the patient back. Nothing is deleted.

Can Leady delete or change our other appointments?

No. The connection has no way to delete anything, and Leady never approves or declines an appointment that does not carry its own reference code.

Does the Free license book appointments?

No. Free reads your PMS, and every answered call becomes a message in the portal for your team to call back. Booking is on Base.

Is anything connected before we sign?

No. Leady connects to your PMS only after your Business Associate Agreement is signed, and before the first real call we check the connection with you and run test calls.
